1. Service Description

VoxaMTD provides Making Tax Digital (MTD) compliance software for UK sole traders and landlords. Our services include:

  • Connection to your bank accounts via open banking (powered by Finexer)
  • Automatic import and categorization of bank transactions
  • Quarterly income and expense tracking
  • Submission of MTD updates to HMRC
  • Tax calculation tools and reports

2. Account Registration

To use VoxaMTD, you must be 18 years or older, be a UK sole trader or landlord subject to Making Tax Digital requirements, provide accurate registration information, keep your login credentials secure, not share your account with others, and notify us immediately of any unauthorized access. You are responsible for all activity under your account.

3. User Responsibilities

You are responsible for the accuracy of all information entered into VoxaMTD before HMRC submission, meeting your legal obligations for tax reporting and payment, submitting your MTD updates to HMRC before deadlines, maintaining supporting documentation for 6 years as required by UK tax law, keeping valid Government Gateway credentials, and maintaining active bank connections and re-authorizing when prompted. VoxaMTD provides tools to assist with compliance but does not guarantee acceptance of submissions by HMRC or accuracy of tax calculations.

4. Acceptable Use

VoxaMTD may only be used for personal UK tax compliance relating to self-employment income and/or UK property rental income. You must not use VoxaMTD for any other purpose.

  • Prohibited: gambling, betting, lottery services
  • Prohibited: cryptocurrency or virtual currency trading
  • Prohibited: adult content or services
  • Prohibited: money transmission, money service businesses, foreign exchange
  • Prohibited: weapons, firearms, ammunition sales
  • Prohibited: illegal drugs or controlled substances
  • Prohibited: money laundering, terrorist financing, financial crime
  • Prohibited: any activity outside the United Kingdom
  • Prohibited: any business activity not subject to UK MTD requirements

5. Open Banking Authorization

Open Banking services are provided by Finexer Ltd, which is authorised and regulated by the Financial Conduct Authority under the Payment Services Regulations 2017 (Firm Reference Number: 925695). VoxaMTD acts as an agent of Finexer Ltd for the provision of Account Information Services.

When you connect your bank account, you authorize VoxaMTD (via Finexer FCA FRN: 925695) to access your transaction history, account balances and account details. Authorization lasts 90 days and requires re-authorization afterward. You can revoke this authorization at any time through your account settings.

6. HMRC Submissions

When you use VoxaMTD to submit to HMRC, you authorize us to submit quarterly updates, Self Assessment data, and fraud prevention information on your behalf. You confirm that all data submitted is accurate to the best of your knowledge. You remain legally responsible for your tax obligations. VoxaMTD is not liable for penalties, interest, or fines resulting from late, incorrect, or rejected submissions. VoxaMTD does not provide tax, accounting, or legal advice.

7. Subscription and Payment

VoxaMTD offers a freemium model. Free tier: core MTD compliance features at no cost. Premium tier: additional features at £45.99/month or £429.99/year. Subscriptions are billed monthly or annually in advance, with automatic renewal unless cancelled. No refunds for partial months. We may change pricing with 30 days notice to existing subscribers.

8. Liability and Disclaimers

We aim for 99.9% uptime but cannot guarantee uninterrupted access. Our total liability to you is limited to the total amount you paid us in the 12 months immediately before the incident occurred. For free users, our liability is limited to £100. We exclude liability for indirect, consequential or special damages, lost profits, data loss, HMRC penalties or interest, and tax advice or calculations. We do not exclude liability for death or personal injury caused by our negligence, fraud, or anything that cannot be excluded under English law. We are not responsible for Finexer, HMRC systems, or your bank's services.

9. Termination

You can cancel your account at any time through account settings or by emailing info@voxaautomation.com. We may suspend or terminate your account if you breach these terms, provide false information, engage in fraudulent activity, or fail to pay subscription fees. After termination, premium features stop immediately; you can export your data for 30 days; we retain data per our Privacy Policy (minimum 6 years for tax records).

10. Complaints Procedure

If you are unhappy with any aspect of the VoxaMTD service, please contact us in the first instance so we can investigate and try to resolve the issue promptly.

Complaints can be submitted by email to: info@voxaautomation.com.

We aim to:

  • acknowledge complaints within 5 business days; and
  • provide a final response within 15 business days where possible.

10. Complaints — Open Banking (Finexer)

Open Banking services are provided by Finexer Ltd, which is authorised and regulated by the Financial Conduct Authority under the Payment Services Regulations 2017 (Firm Reference Number: 925695). VoxaMTD acts as an agent of Finexer Ltd for the provision of Account Information Services.

Where a complaint relates specifically to Open Banking connectivity or regulated Account Information Services provided through Finexer, VoxaMTD may escalate the matter to Finexer Ltd for further investigation and resolution.

If we are unable to resolve your complaint, you may have the right to refer your complaint to the Financial Ombudsman Service: https://www.financial-ombudsman.org.uk/.

11. Governing Law

These terms are governed by English law. Any disputes will be handled in the courts of England and Wales. If you're a consumer in Scotland or Northern Ireland, you retain your local consumer protection rights.

12. Changes to Terms

We may update these terms. We'll notify active users of significant changes via email at least 14 days before they take effect. Continued use after changes constitutes acceptance. If you disagree with changes, you can cancel your account before they take effect.
